Making retreat programs easy to book

CSIM offers structured, multi-day retreats with fixed dates and defined pricing. But their booking flow treated every retreat like a flexible hotel stay. Guests struggled to find the right option. Staff stepped in to clarify and complete bookings.

We redesigned the retreat pages and connected them directly to a custom booking flow on top of Mews, so guests can select and book the right retreat without confusion.

  • A set price
  • A limited set of rooms
  • Optional features like retreat-specific guidance

Guests don’t choose arbitrary dates or room types. They sign up for a specific program.

The challenge

When retreat logic doesn’t fit hotel-style booking

The booking experience showed options that didn’t apply.

Guests were asked to:

  • pick dates that were already fixed
  • choose room types that didn’t make sense for the retreat
  • fill in details without clear context

Many stopped midway or reached out with questions. Instead of guiding the booking, the system created friction. The team spent time correcting and completing reservations.

The solution

A booking system that reflects how the retreats actually run

We redesigned the retreat pages and connected them directly to a custom booking flow built on top of Mews.

Each retreat now has its own clear entry point. Guests select a program first, then move through a structured flow that reflects how that retreat works. Mews continues to handle availability, pricing, and reservations. The experience around it now matches the product being sold.

  • Only relevant room options

There’s no calendar and no invalid combinations. Guests sign up for a retreat, not a stay.

Vibestay’s digital transformation took place in two focused phases. First, they connected Mews and HubSpot to eliminate manual data entry and unify all reservations in one system. Then, they launched a fully branded Custom Booking Engine to automate student housing applications, payments, and contracts from start to finish.
